


Community Input & Event Planning Meetings
The Carlton Landing Social Welfare Foundation and the Carlton Landing Charitable Foundation host a wide range of community events that foster connection, belonging, and shared tradition in Carlton Landing. To encourage participation and strengthen communication around these events, the Foundation hosts event-specific planning meetings. These meetings are designed to provide information, invite feedback, recruit participants, and answer questions related to individual events while maintaining clear operational leadership by the Foundation.
Community feedback is an important part of our planning process. For those unable to attend meetings, feedback may also be submitted at any time by emailing the Carlton Landing Foundation at foundation@carltonlanding.com
Event Planning Meetings are:
- Event-specific discussions focused on one named event
- Open to all community members
- Advisory and collaborative in nature
- Opportunities for participation and recruitment, not decision-making bodies
These meetings provide a space for residents to learn how events are planned, understand participation opportunities, and share ideas that may enhance future events.
SCOPE OF DISCUSSION
Each meeting will focus on a single event and may include:
- Overview of the event purpose and structure
- Participation opportunities for homeowners
- Volunteer and hosting roles
- Vendor and performer recommendations
- Timeline considerations
- Feedback on attendee experience
Some event elements may already be established for the current year, including dates, anchor weekends, and major structural components. Input that cannot be incorporated immediately will be documented and considered for future planning cycles.
tIMING & SCHEDULING
- Event Planning Meetings will be held approximately six (6) months prior to each event.
- The Foundation maintains an annual event calendar planned one year in advance.
- Feedback gathered during meetings may inform:
- Final details for the upcoming event, where feasible
- Improvements and adjustments for future years
Residents are encouraged to attend meetings for events they are interested in supporting or learning more about.
To ensure accessibility and transparency:
- Meetings are virtual (Zoom) and open to all homeowners.
- Meetings will be recorded and published on the Foundation’s YouTube channel
This allows community members to stay informed even if they are unable to attend live.
Purpose & Benefits
Event Planning Meetings are intended to:
- Increase clarity and understanding around Foundation-hosted events
- Encourage meaningful homeowner participation
- Serve as recruitment sessions for volunteers, hosts, performers, and vendors
- Capture community insight to strengthen future events
- Build trust through openness and communication
While the Foundation Boards focus on long-term strategy and governance, these meetings intentionally operate at a granular, event-specific level, focused on participation, planning details, and shared understanding.
Meeting Schedule
Planning meetings are scheduled for Friday afternoons as a way to wrap up the week and join in on community planning. Meetings are one hour in length and will conclude at 4:30 PM.
